TRIGGER — TWO PATHS

Path A — Resignation

  • Employee submits formal resignation via the internal dashboard
  • Notice period begins immediately
  • People and Culture notified automatically

Path B — Termination

  • Decision made by Group Partner of relevant division + People and Culture
  • Employee issued a formal notice of termination
  • 90-day notice period begins — employee continues working during this period

STAGE 1 — NOTICE PERIOD SUPPORT (Termination Only)

During the 90-day notice period, People and Culture provides full outplacement support: peoplestrong
  • Resume and LinkedIn profile review
  • Interview preparation and coaching
  • Job search assistance and referrals
  • Emotional and professional wellbeing support
  • Skills assessment to identify transition opportunities
  • Reference letter preparation (if eligible)
Owner: Director of Culture → Partner, Wellbeing + Partner, Engagement

STAGE 2 — ACHIEVEMENT & CERTIFICATION REVIEW

Before the employee’s last day, ECU reviews their record against compliance policies:
  • Work quality and conduct reviewed
  • Achievements assessed against compliance standards
  • If eligible, a formal certification is issued from certs.ibbe.in/[id]
  • Certificate includes: employee name, role, division, tenure, achievement recognised
  • Issued and verified by ECU in coordination with People and Culture
Note: Certification is a recognition of professional achievement — not issued automatically. It requires ECU sign-off.

STAGE 3 — ASSETS HANDOVER

Before last working day:
  • All company-issued physical assets returned (laptop, ID card, equipment)
  • All ongoing work, files, and project documentation handed over to Direct Manager
  • Knowledge transfer completed for key responsibilities
  • Assets handover checklist signed off by Director of the division

STAGE 4 — ACCESS REVOCATION

On the last working day, the following are revoked simultaneously:
  • Cloudflare Access to Knowledge Base — revoked immediately
  • Google Workspace account — suspended on last day
  • Communications channels (Slack / Teams / WhatsApp) — removed
  • Project management software — removed
  • ID card invalidated on the website
Owner: Apparatus (Director of Infrastructure → Partner, Security)

STAGE 5 — DATA DELETION

  • Google Workspace account data reviewed within 30 days of last working day
  • Any business-critical data transferred to relevant team members before deletion
  • Account permanently deleted at end of 30-day window
  • Deletion logged and confirmed by Apparatus and ECU for compliance records
